When more than 3,000 AFSCME delegates and guests gathered in Chicago for the organization’s 47th International Convention, the week began with an Opening Night Delegates’ Reception designed to bring everyone together for an evening of celebration, connection and recognition.
Held at McCormick Place’s Lakeside Center, the reception kicked off a week celebrating AFSCME’s 90-year history and honored AFSCME President Lee Saunders and Secretary-Treasurer Elissa McBride. The evening combined a formal program with dinner, live entertainment and dancing, creating a dynamic experience that required production to seamlessly support both the program and the celebration.
For the event, Absolute Production Services provided complete video, lighting and audio production for the main reception room, including programming for the evening’s formal presentation. Absolute also provided audio and lighting for conversion of that space as well as two additional rooms, creating a cohesive entertainment experience throughout the event.
One Production Partner. Three Rooms. One Seamless Experience.
The scale and scope of the reception required more than a single-room production solution. Absolute’s team was responsible for supporting the main program while simultaneously providing production infrastructure for entertainment happening throughout the venue.
In the main room, Absolute handled the event’s video, lighting and audio, supporting the formal program and helping ensure that presentations and remarks could be experienced clearly by an audience of thousands.
Once the program transitioned into the evening’s celebration, the production environment needed to shift with it. Two additional rooms featured live bands as well as one in the main reception hall, each requiring its own audio and lighting package. Absolute coordinated the technical requirements across all spaces, allowing attendees to move throughout the reception while maintaining a consistent, high-quality event experience.
Production That Moves With the Event
For large-scale receptions, production isn’t simply about what’s happening on stage. It’s about understanding how attendees will move through the space and making sure every environment feels intentional.
The AFSCME reception was designed to evolve throughout the evening—from a formal convention event to a multi-room celebration with live entertainment. Absolute’s production team supported that evolution by providing the technical expertise, equipment and programming necessary to keep each part of the experience running smoothly.
The result was a reception that could accommodate thousands of attendees while giving guests multiple ways to experience the evening.
Chicago Experience. National Scale.
Hosting an event of this size at McCormick Place requires a production partner that understands the venue, the logistics and the complexities of executing a large-scale event in Chicago.
Absolute brought over three decades of Chicago event production experience to the project. From the main stage and program to three separate entertainment spaces, the team managed the technical production across multiple environments while working within the demands of a major convention venue.
The AFSCME Opening Night Delegates’ Reception was a great example of Absolute’s ability to serve as a single production resource for complex events, bringing audio, video and lighting together under one experienced team.
With more than 3,000 attendees, a formal main-room program and live entertainment taking place across two additional rooms, the event demanded coordination, precision and flexibility. Absolute delivered the production infrastructure behind the experience—allowing AFSCME and its guests to focus on what the evening was really about: celebrating 90 years of history, recognizing leadership and coming together as an organization.
